From the box to your first note in five minutes.
How to use the Ruune device, the phone app and Ruune Desktop: recording, highlights, the status light, syncing, and how to look things up in your memory afterwards.

Charge it
Lay Ruune on any Qi wireless pad or use the included cable. A green light flashes while it charges and stays solid when it's full, in about 100 minutes.

Get the app and sign in
Install Ruune from the App Store or Google Play and continue with Apple, Google or email. Allow Bluetooth when your phone asks.

Pair your Ruune
On the Notes tab, tap “Tap to connect your Ruune”, then “Scan for Devices”, then tap your Ruune in the list.

Hold to record
Press and hold the button for about 1.5 seconds. Ruune vibrates and the light turns blue. Hold again until it vibrates twice to stop.
THE DEVICE
One button does everything.
There's a button and a status light on the front, and a four-pin charging port on the back. Tap a gesture to see what it does, or watch them play through.

Press and hold about 1.5 seconds.
One vibration and a blue light. Ruune is recording, with or without your phone nearby.

- Ruune records on its own. Your phone can be in another room, out of battery or in flight mode; recordings wait on the device and sync the next time it's nearby.
- Once a recording reaches your phone it's cleared from the device to free up space.

STATUS LIGHT
What the light means.
The light is off most of the time to save battery. Short-press the button whenever you want a status check.

Fully charged
Flashing after a reset or a flat battery, even though you paired before? That's normal. Ruune shows “ready to pair” until the app reconnects. Open the app nearby and the light goes solid again. You don't need to pair it a second time.
POWER
Charging and carrying
Ruune charges like a phone: any universal Qi pad, or the included cable on the four-pin port on the back. A full charge takes about 100 minutes and records for 20+ hours.
- The Ruune app warns you when the battery reaches 10%.
- Ruune has magnets on both sides, so it snaps onto a MagSafe iPhone and your wallet, grip or stand still snaps on top. Charging through Ruune to the phone isn't supported; take it off to charge your phone wirelessly.
PHONE APP
Pair, sync, and read your notes.
The iPhone and Android apps work the same way. Tabs along the bottom: Notes, Memory, Actions, Vault, Ask Ruune and Settings.
Pair your Ruune
Sign in
Open Ruune and choose “Continue with Apple”, “Continue with Google” or “Continue with Email”. A short tour follows; you can reopen it later from Settings → “How Ruune works”.
Allow Bluetooth
Ruune syncs over Bluetooth, so allow it when asked. On iPhone, Local Network and Location are used for fast Wi‑Fi transfer.
Wake the device
Short-press the button. A flashing white light means it's ready to pair.
Scan and tap
On the Notes tab, tap “Tap to connect your Ruune” (or the device chip at the top left), then “Scan for Devices”. Tap your Ruune under “Nearby Devices”. When the light turns solid, you're paired. The encryption key is set up for you.
Your Ruune belongs to your account, not to one phone. Sign in on a new phone and it comes along; there's nothing to re-pair.
Getting recordings to your phone
Automatically, over Bluetooth
Whenever Ruune is near your phone with the app running, new recordings copy across on their own. Each shows up in Notes as “Syncing”, then “Uploading”, then “Processing”, and opens as a finished note.
Faster, over Wi‑Fi
When there's a backlog, a “Speed up transfer” button (⚡) appears at the top of Notes. Ruune opens its own small Wi‑Fi network, so no internet is needed. Tap “Join” when your iPhone asks. Five hours of audio moves in about 35 seconds.
Turn off your Personal Hotspot first. If you decline the Wi‑Fi prompt, the transfer just carries on over Bluetooth.
Three ways to record
From the device
Hold the button about 1.5 s. Nothing to open on the phone; the note appears once the recording syncs.
From the app
Tap the record button at the bottom of Notes and choose “Device” to start your Ruune remotely, or “Phone” to use the phone's microphone. While recording you can tap “Highlight”, open a “Notepad”, “Link a meeting” or “Take Photo”.
From a file
Choose “Import” → “Audio file” to turn an existing recording into a note, or “Notes from other tools” to bring notes in.
Inside a note
Swipe between three pages, or tap their names at the top.
Capture
The audio, your highlights and the full transcript. Tap “Label speakers” to name who's talking; Ruune remembers voices for next time.
Recall
The summary, which is where a note opens. Pick a different template from the summary menu, or make your own in Settings → “Summary templates”.
Action
Follow-ups Ruune pulled out of the conversation. Tick them off, dismiss them, or send them to your task app.
Ask Ruune and your memory
Ask about one note
Type into “Ask Ruune about this note…” at the bottom of any note.
Ask across everything
The “Ask Ruune” tab searches all your recordings. Add notes or a label as context to narrow it down. Answers link to the moments they came from; tap a source to check it.
Browse your memory
The “Vault” tab draws the people, places and topics from your conversations as a graph. On Pro and Max plans, the “Memory” tab adds a board you can search and filter.
Recording phone calls
Leave Ruune on the back of your phone. Its contact mic picks up the call through the phone itself, so there's no speakerphone or special mode.
- iPhone: hold the button to start recording when the call begins, and again to stop.
- Android: turn on Settings → “Auto-record on call” and Ruune starts recording when a regular phone call connects. WhatsApp and other internet calls aren't included.
Recording laws differ by country and state. Let people know when you're recording them.
Device settings
Tap the device chip at the top left of Notes. There you can rename your Ruune, see battery and storage, update its firmware, find where it was last seen, and turn on “Notify When Left Behind”.
Firmware updates need 30% battery or a charger, can't run while Ruune is recording, and need the app kept open until they finish.
Connect your tools
In Settings → Connections, link your calendar (Google, Apple or Outlook) so notes are named after the meeting, a task app (Apple Reminders, Things, Google Tasks, Todoist, TickTick, Linear) for action items, and a notes app (Notion, Obsidian, Slack, Google Drive, OneNote, Dropbox) to send summaries to. Developers can find “API & MCP” under Settings → Developers.
APP SETTINGS
What each setting does.
In the order they appear on the Settings tab. Most are set once and forgotten; the ones under Recording & Notes are the ones worth a look.
Account
- Your name“Profile” on Android
The top row shows your name and email. Tap it to change your name or profile details.
- Referrals & Rewards“Referrals & Ruune Cash” on Android
Your invite link, and what you've earned from people who joined with it.
Plan & Billing
- Your plan
Transcription is unlimited on every plan. Your plan's Premium transcription minutes are used first; once they run out for the month, recordings keep transcribing on the Standard tier. To save Premium minutes for later, turn on “Pause Premium transcription” under Recording & Notes. The card shows which tier you're on now. Tap it to see usage or change plan.
Recording & Notes
- Auto-transcribe
Turns every recording into a transcript, summary and action items as soon as it uploads. Turn it off to decide note by note: new notes wait until you open them and tap “Generate Notes”.
Shows “Required” and can't be turned off while Audio Retention is set to Device Only or Privacy Mode, because those modes delete the audio once it's transcribed.
- Auto-record on call
Starts your Ruune recording when a regular phone call connects, even with the app in the background, and stops it when the call ends. Keep your Ruune connected.
WhatsApp, FaceTime and other internet calls aren't included.
- Lock Screen Activity
While a recording is running, shows a live card on your Lock Screen and in the Dynamic Island: the timer, how many highlights you've marked, the linked meeting, and Pause and Stop buttons.
It only shows or hides that card. It doesn't keep your screen awake, doesn't change whether Ruune records while your phone is locked (it records either way), and has no effect on video or music in other apps.
Start a recording from the device button while the app is in the background and the card appears the next time you open Ruune. That's an iOS rule.
- Audio Retention
Where the audio file is kept once it's been transcribed. Your transcript and summary are kept in every mode.
- Cloud and DeviceKept on your phone and in your Ruune account. Plays offline and is backed up.
- Cloud onlyRemoved from your phone after upload to save space. Plays from any device you sign in on.
- Device OnlyRemoved from the cloud once transcribed. Only your phone has the audio.
- Privacy ModeDiscarded everywhere once transcribed. You keep the words, never the audio.
- Speaker Profiles
The voices Ruune recognises. A profile is made when you name a speaker in a note, and that voice is labelled for you in later recordings. Profiles are a mathematical voiceprint, not a saved recording. Delete one to stop recognising that voice; past notes keep their labels.
AI & Summaries
- Chat
The AI model that answers your questions in Ask Ruune.
- Summaries
The AI model that writes each note's summary.
- Output language
The language summaries, titles and tasks are written in, whatever language was spoken. Ask Ruune answers in the language you ask in.
This doesn't change the app's menus. That's Appearance → Language.
- Glossary
Names, products and jargon you want spelled right in transcripts, such as colleagues' names or your company's products. Used by Premium transcription.
- Summary templates
The layouts a summary can follow. Make your own here, then switch any note to it from that note's summary menu.
Notifications
- Notifications
Pick which alerts you get: “Calendar events” before a meeting, “Action items” reminders, “Note ready” when a recording finishes processing, a “Start of day” nudge to bring Ruune along, an “End-of-day sync” nudge to open the app so the day's recordings finish syncing, “Low battery” for your Ruune, and “Product updates”. You set the morning and evening times.
Banners, sounds and lock-screen previews are controlled in your phone's own notification settings.
Connections
- Calendars
Link Google, Apple or Outlook calendars so notes are named after the meeting they recorded, and so Auto-share knows who was invited.
- Task Management
Send action items to Apple Reminders, Things, Google Tasks, Todoist, TickTick or Linear.
- Notes Management
Send finished summaries to Notion, Obsidian, Slack, Google Drive, OneNote or Dropbox. “Include transcript” adds the full transcript below the summary.
Developers
- API & MCP
Keys for reaching your notes from your own code, or from AI assistants that support MCP. You don't need this to use Ruune.
- Webhooks
Have Ruune call a web address you choose when something happens, such as a note being ready.

Danger Zone
- Delete Account
Permanently deletes your account and everything in it: notes, recordings and settings. It can't be undone, and the app asks twice.
RUUNE DESKTOP
Ruune Desktop
The Mac and Windows app records your online meetings, and it's the best place to explore your memory. It doesn't connect to the Ruune device directly: recordings from the device sync through your phone and show up on the desktop on their own.
Install and sign in
Download for macOS 11+ or Windows, then sign in with the same account as your phone. Allow the microphone when asked.
Hear both sides of a call
In Settings → Recording & Notes, turn on “Capture System Audio” so the other people on a call are recorded too. “Test system audio →” checks it works.
It notices meetings
When Zoom, Google Meet, Teams, Webex, Slack, FaceTime and others start using your mic, a “Meeting detected” card offers “Start note-taking”. Turn on “Automatically start recording” to skip the question.
Or start one yourself
From the menu bar icon choose “Start Quick Note”, or open “New Recording”. A small floating bar lets you pause or stop. Closing the window keeps Ruune running in the menu bar.
Checking your memory
Every conversation is indexed into your memory within about a minute of being transcribed: who was there, what was said, what was promised and to whom. Three places to look:
Home
The Memory panel at a glance: People, Conversations & threads, Follow-ups owed, and Dates coming up.
Vault
The full picture. “Graph” shows how people and topics connect; “People & things”, “Timeline”, “Tags”, “Dates” and “Search” slice it other ways. Tags groups promises into “Yours”, “Owed to you” and “Between others”.
Ask Ruune
Ask in plain words: “What did I promise Grace?” or “Who do I know in New York?”. Leave context empty to search your entire memory. Answers cite the conversation they came from.
- To bring in notes recorded before memory was turned on, open them and choose “Add to memory”. This uses memory credits from your plan.
- Vault and Ask Ruune work the same in your browser at web.ruune.ai.
Heimdall, one keystroke away
Heimdall is the assistant inside Ruune Desktop. It reads the text on your screen (never screenshots), keeps it in an encrypted memory on your computer, and drafts, dictates or translates right where your cursor is. On first use it asks for Accessibility and Input Monitoring in System Settings → Privacy & Security.

These are the defaults; change any of them in Heimdall's settings. Heimdall → Memory shows what your computer remembers, day by day, and the Blacklist tab keeps apps and sites out of it. Private browser windows are always skipped. More about Heimdall
TROUBLESHOOTING
If something's not right.
My Ruune doesn't show up when I scan
Check Bluetooth is on and the device is close to your phone. Short-press the button: if no light appears, charge it for a few minutes. If the scan shows “Bound to another account”, tap “Contact Support”. Still nothing? Hold the button for about 10 seconds to reset it, then scan again.
The light flashes even though I already paired
After a reset or a flat battery Ruune shows “ready to pair” until the app reconnects. Open the app with the device nearby and the light goes solid. Don't remove and re-add the device.
Recordings aren't syncing
Open the app with Ruune nearby and keep it open for a minute. If you see “Couldn't sync a recording”, the recording is still safe on your Ruune: restart the app, or hold the button about 10 seconds to reset and reconnect. Don't use “Erase and Unbind” to fix sync. It deletes what's on the device.
“Fast transfer unavailable”
Make sure Wi‑Fi is on and your Personal Hotspot is off, then tap “Speed up transfer” again and tap “Join” when asked. Either way, nothing is lost: the transfer continues over Bluetooth.
I got a new phone
Install Ruune and sign in to the same account. Your device and notes come with you.
I'm giving my Ruune to someone else
Let everything sync first. Then on the device screen, tap “…” → “Erase and Unbind”. This deletes any recordings still on the device and frees it for a new account.
I lost my Ruune
The device screen shows where it was last seen. If it's gone, tap “…” → “Mark as Lost” so no one else can pair it. If it turns up, use Settings → “Recover Lost Devices”.
A firmware update won't start
Ruune needs at least 30% battery or to be on a charger, and it can't update while recording. Keep the app open until the update finishes.
Ruune Desktop can't use my microphone
Open System Settings → Privacy & Security → Microphone, turn on Ruune, and restart the app.
